Getting approval for a quality management platform usually means answering one question for finance: is the time your team spends on manual quality work worth more than the platform costs? This free eQMS business case template is an Excel workbook that helps you answer it with your own numbers, and shows every calculation so the people reviewing it can follow how you got there.
What's in the business case template
The template walks through eight areas where quality teams typically lose time to manual work, from CAPA documentation and audit preparation to record retrieval and management review reporting. For each one, you enter how often it happens and how long it takes today, then estimate how much of that effort a connected quality management platform could remove.
- Break-even snapshot: the hours your team would need to reclaim each year, month and week for the subscription to pay for itself.
- Time and value by category: current hours, estimated hours reclaimed, labor value and FTE capacity for each area of QMS work.
- ROI summary: net annual benefit, benefit-to-cost ratio and simple payback period, all calculated from your inputs.
- Cost of quality upside: an optional section for rework, scrap, audit travel, yield losses and time-to-market, kept separate so your core case stands on its own.
- Methodology tab: every formula explained in plain language, with no hidden adjustments, so reviewers can check each number.
Who it's for
Quality managers, QA/RA leads and operations teams who need to justify the cost of quality management software to leadership or finance, compare it against a paper or spreadsheet-based system, or document the case before starting an eQMS evaluation.
How to build your eQMS business case
- Enter your currency, annual subscription and fully loaded hourly labor cost on the Assumptions tab.
- Replace the example volumes and hours on the Business Case tab with your own baselines.
- Set a realistic efficiency percentage for each category. Conservative estimates make for a stronger case.
- Review the break-even point and ROI summary, add cost of quality figures if you track them, and share the workbook with your approvers.
The example values in the template are illustrative starting points, not benchmarks or guaranteed results. Your output depends entirely on the numbers you enter.

Frequently asked questions
What should an eQMS business case include?
A strong eQMS business case compares the cost of the platform against the time your team currently spends on manual quality tasks, such as document control, CAPA management, audit preparation and reporting. It should show the assumptions behind every figure, a break-even point, and any cost of quality factors you track, like rework and scrap. This template covers all of these.
Is the template free?
Yes. Fill in the form and we'll email you the Excel file.
Do I need a quote to use it?
No. You can start with your labor costs and time estimates, and add the subscription cost later. Until you enter one, the break-even and payback figures stay blank. For pricing, see isolocity.com/pricing.
Can I use it for any eQMS, not just Isolocity?
Yes. The template works with any platform's pricing, so you can use it to compare options during an evaluation.
